01 We know the business problem, but not the technology. Can Epicarp help us decide where to start?

Yes. You do not need to identify a product or technology before speaking with us.

We prefer to begin with the current business process, the challenges your team is experiencing and the outcome you would like to achieve.

From there, we can help identify an appropriate starting point and determine whether the requirement needs process improvement, automation, analytics, integration, security improvement or another approach.

02 Can we start with a small assessment, proof of concept or pilot?

Yes. A focused starting point is often more useful than beginning with a large transformation programme.

Depending on the requirement, we may start with an assessment, one business process, a limited user group, a proof of concept or a clearly defined pilot.

This gives the organisation an opportunity to validate the approach, understand practical challenges and measure value before deciding how far to expand.

03 Do we need to replace our existing systems before working with Epicarp?

Not necessarily. Replacing an existing system is not automatically the first recommendation.

We first look at what is already working, where the gaps are and whether the requirement can be addressed by improving, extending, integrating or automating around the current environment.

Improve before replacing.

Existing technology investments should be considered before introducing unnecessary complexity.

04 Can your solutions work with our existing ERP, CRM, Microsoft 365 or other applications?

In many cases, yes. Integration is an important part of modern business solutions because information and processes rarely exist in only one system.

Depending on what the source application supports, integration may use standard connectors, APIs, databases, files, middleware or other appropriate interfaces.

05 How do you consider security, privacy and user access when designing a solution?

These considerations should be part of the solution design rather than something added only after the solution is built.

Depending on the engagement, we consider areas such as user identity, roles and permissions, data access, integration access, environment separation, auditability and appropriate operational controls.

06 How much involvement will our internal team need during the project?

Some participation from the relevant business and technology stakeholders is important.

Your team typically helps us understand the current process, validate requirements, provide access to relevant systems or information, review the solution and participate in testing and acceptance.

We aim to keep that involvement structured so the project can progress without creating unnecessary demands on day-to-day operations.

07 How long does a typical Epicarp engagement take?

There is no single timeline because the duration depends on the scope, complexity, integrations, number of processes, stakeholder availability and testing requirements.

A focused assessment or pilot may be relatively short, while a multi-process implementation or broader transformation will naturally require more time.

Once the scope is understood, we can define the proposed stages, expected duration and key dependencies before implementation begins.

08 How is the cost of a project or engagement determined?

Cost depends on the type of engagement and the work required to achieve the agreed outcome.

Factors may include solution complexity, integrations, number of processes, environments, data migration, testing, deployment and ongoing support requirements.

Where third-party or Microsoft licensing is required, those requirements are identified separately so the organisation can understand both implementation and platform-related costs.

09 Will our team receive documentation and knowledge transfer?

Where appropriate to the project, documentation and knowledge transfer form part of the handover process.

The exact documentation depends on the solution, but may cover key functionality, configuration, operational considerations, integrations, administration or user guidance.

The objective is to help your team understand what has been implemented rather than leaving the solution as a black box.

10 What happens after the solution goes live?

Go-live does not necessarily have to be the end of the engagement.

Depending on the solution and support arrangement, Epicarp can continue to assist with operational issues, enhancements, new requirements, integrations, reporting changes and further optimisation.
